INVITATION FOR EXPRESSION OF INTEREST FOR THE PHYSICAL ARCHIVING OF DOCUMENTS AT THE CORPORATION’S LAGOS OFFICE
1.0 INTRODUCTION
The Nigeria Deposit Insurance Corporation (NDIC) wishes to invite reputable and competent Companies with good track record of performance and experience to tender for the Physical Archiving of Documents at the Corporation’s Lagos Office, Necom House, Marina Street, Lagos.
2.0 PROJECT TO TENDERS
Physical Archiving of Documents in the Asset Management Department, Lagos Office.
3.0 SCOPE OF WORK
Selected Consultant is expected to process raw documents into Archives which would include but not limited to the following:
1. Fumigation of Records.
2. Sorting & cleaning of documents.
3. Identifying achievable and non-achievable documents.
4. Re-jacketing of worn out files.
5. Indexing of records.
6. Boxing, labelling and shelving of records.
7. Training the Corporation’s Record Managers.
3.0 ELIGIBILITY CRITERIA
Interested bidder(s) for the above project are required to provide the following bidding requirements for the project.
All bids must be accompanied with the following:
i) Evidence of Company Registration with Corporate Affairs Commission (CAC) in Nigeria.
ii) The current 3 (three) years Tax Clearance Certificate of the Company (2015, 2016 and 2017).
iii) The Company’s Audited Accounts for the last 3 (three) years (2015, 2016 and 2017).
iv) Interim Registration Report as evidence of registration with BPP National database of Contractors, Consultants and Service Providers.
v) Valid Certificate of Compliance with Pension Act issued by the National Pension Commission (PenCom).
vi) Certificate of Compliance with Industrial Training Fund (ITF) Act, 2005.
vii) Certificate of Compliance with National Social Insurance Trust Fund (NSITF) Act.
viii) Sworn affidavit to indicate that the Company is not in Receivership and none of its Directors was ever convicted of fraudulent activity.
ix) A sworn affidavit disclosing whether or not any officer of the Corporation or BPP is a former or present Director, Shareholder, or has any pecuniary interest in the bidder and confirm that all the information provided in the bid are true and not false, forged or faked.
x) Evidence of Financial capacity to execute the project, letter of commitment to provide funding from a bank or Company’s bank statement for the immediate past six (6) months.
xi) Verifiable evidence of having successfully carried out minimum of one (1) similar work (please attach Letter of Award and Job Completion Certificate).
xii) Company profile indicating qualification and experience of key staff for the project.
xiii) Detailed Company Profile and evidence of personnel capability including list of key professional staff, Curriculum Vitae, Certificates of each professional and relevant position/evidence of registration of these personnel with relevant Professional Bodies.
Proof of Company’s understanding of the Job, Implementation Plan and Work Methodology.
5.0 SUBMISSION OF EXPRESSION OF INTEREST (EOI)
Three (3) bound copies and one (1) soft copy of the documents must be submitted in sealed envelopes clearly marked ‘’Expression of Interest for Physical Archiving of Documents’’ and addressed to:

6.0 CLOSING DATE FOR SUBMISSION
The closing date for submission is Monday, 14th May, 2018 by 11:00 am. The submission should be dropped in the Tender Box on the Ground floor, Reception Area at the Head Office Building, Abuja. Companies submitting expression of interest are expected to sign a register on the 2nd floor, Procurement and Management Services Department, before dropping. Any submission after the stipulated date and time shall be considered late and non-responsive.
7.0 OPENING OF TENDERS
Opening of tenders shall be on Monday, 14th May, 2018 by 11:00am. The venue for the Bid Opening exercise is Visitors waiting room at the Ground Floor, NDIC Head Office, Abuja.
8.0 ADDITIONAL INFORMATION
i) Interested consultants are strongly advised to visit the Corporation’s Asset Management Department, Necom House, Marina Street, Lagos for inspection.
ii) Failure to satisfactorily fulfil the conditions as requested above will result in invalidation of such tender.
iii) NDIC shall reserve the right to reject any submission based on unverifiable information.
iv) All bids/proposals must be paginated and items required under eligibility criteria are to be arranged in the order of sequence.
v) All documents submitted must be legible.
vi) Due diligence exercise shall be conducted to verify all the claims made by bidders.
vii) Failure to comply with the instructions will lead to disqualification.
